On Jan 22, 2005 the State of California released an RFP for the purchase of 100,000 laptop computers. The landed cost for the computers must be under $150. The deadline for the proposal is June 6, 2007. If you submit a proposal then you will be legally bound to supply 100,000 laptops before June 6, 2008.
In our first scenario you are the regional sales manager for Pegasus electronics. The date is April 1, 2007. Your company has been working on a $100 laptop computer for the last two years and has finally had a breakthrough. Your research and development department just patented a solid state hard drive. Normal hard drives cost 72€ per unit to manufacture. Solid state drives cost 90% less to manufacture than a normal hard drive. Your distribution manager has just made a arrangement with a television plant in Malaysia to begin manufacturing these drives. It will take three months to convert the plant which can then produce 10,000 units per month running 2 shifts. You have also just finalized a deal with the Litbrit corporation to purchase their 15 inch DLP screens for only 1,250 Takas per unit. The manufacturing order must be submitted by May 15. After it is submitted the first shipment of 10,000 units will be ready for shipment from the plant in Bangledesh on June 1. In both cases above 50% of the total billing is due before manufacturing can begin. Please keep in mind that your company's SG&A number is 9.
Application 1
Write an email to your boss, Mr. Schultze. Mr. Schultze founded the company and made a fortune selling 8-track tape players to small car audio shops. He knows about electronics, but not necessarily about computers. He is worried that all the changes in technology will make his company obsolete, but has also seen many electronics companies go out of business because of changing technologies. He is 74 years old and does not have a computer on his desk. Convince him that this is an opportunity that should be pursued.
Write an email to the head of accounting, Mrs. Simpkins, explaining the circumstances to make her aware of the fact that the company will need to secure financing if they pursue this opportunity. Since this was not in the original budget, you will need to be persuasive. The actual billing and specifics will be handled by accounts payable. Mrs. Simpkins is jealous of you because your office is bigger than hers even though she has been with the company for over 10 years.
Write it like if you were sending to a CEO and this project could possibly bankrupt your company if the deal didn't succeed. note that you play the role of a manager who have a salary in the 6 figures, not a secretary. You have other people under you doing jobs such as marketing. The emails should take 30 seconds to read, they should not be too technical and you should know the meaning of the technical words you are using before putting them in your email.
